WHAT YOU GET TO DO:
• Provide administrative support to Executive Team, to include; screening calls, creating files and filing, compose correspondence, prepare reports, process, categorize and arrange essential mail and printed materials.
• Assure discreet and confidential handling of all conversations and business transactions.
• Make certain all paperwork to and from the executive, purchasing, accounts receivable, accounts payable and HR offices is processed to the correct recipient.
• Work with internal and external parties to organize the various components needed to initiate, run and conclude major projects.
• Process and distribute all incoming mail and manage postage.
• Create and process POs and invoices through Birch Street.
• Assist with data entry and correspondence including monthly inventories.
• Assist with uniform issues and documentation of issued company property.
• Create, organize and maintain electronic and hard copies of company documents and/or legal agreements for the General Manager.
• Participate in Staff meetings and take notes for property wide distribution.
• Complete assignments and special projects as needed by Executive Team
WHAT YOU NEED TO BE SUCCESSFUL:
• High school degree or equivalent.
• Previous experience in hotel or resort environment is a plus
• You are a friendly and outgoing individual by nature with a solid customer service skill set.
• Requires strong computer and internet research skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
• Ability with Window-based computer systems; Property Management and POS Systems (Visual 1).
• Proficiency in Excel spreadsheet and MS Office software.
• Proficiency in reading, writing, and speaking in the English language.
• Strong organizational skills required coupled with strong attention to detail
• Ability to work without direct daily supervision.
• Maintain professional phone etiquette service standards.
• Intuitive ability to identify problems sources and resolutions.
